ITI treats the privacy of its members and web users very seriously and we take appropriate security measures to safeguard your privacy.

We collect personal information about our members, people who visit our website, attend our events or purchase goods from our e-shop.

  1. Who are we?

The Institute of Translation and Interpreting (“ITI”) is the only UK-based independent professional membership association for practising translators, interpreters and language services businesses.

Founded in 1986 and with over 3,000 members, both in the UK and internationally, we are a significant resource within the industry.


Our objectives: 

  • To serve as a forum for all those in the United Kingdom or elsewhere whose common interest is the quality of translation or interpreting for any purpose that needs high professional standards of communication and understanding
  • To secure better recognition of the value of the skills and experience of those professionally engaged in translation or interpreting
  • To undertake, encourage and fund research and any other activities conducive to the improvement of training and standards in the industry
  • To promote and enforce professional conduct among its members


  1. What type of information is collected from you?

The personal information we may collect includes:

  • your name
  • telephone number
  • address
  • email address
  • IP address
  • information regarding what website pages are accessed and when
  • gender
  • business/company name
  • financial information such as debit or credit card details

ITI processes your data when it is in our legitimate interests to do this and when these interests do not override your rights or we have consent to do so.

We obtain information about you when you use our website; when you contact us about an event or training; apply for membership; or register to receive one of our news updates.

Like many other websites, we place a “cookie”, small pieces of information sent to your computer and stored on your hard drive, to allow us to recognise you when you return to the site. This helps us to improve our website and deliver a better more personalised service. This information does not identify you as an individual and is used only for tracking of site use.

All information that ITI holds concerning you will be held and processed by ITI strictly in accordance with the provisions of the General Data Protection Regulation (“GDPR”). Your personal information will be securely stored, for no longer than is necessary having regard to the reasons for which it was first collected, in our database, in the form of paper and electronic files. ITI protects the privacy of your information using secure servers and locked cabinets within a secure office and can only be accessed by authorised personnel. You data will all be stored within England.

Such data is used by ITI to administer our relationship with you and to provide you with information about our activities and for related purposes.

We may use your information to:

  • administer your membership;
  • provide and manage your access to our website;
  • communicate with you about membership, research, recognition, code of conduct and other activities;
  • provide services you have requested;
  • seek your views or comments on the services we provide;
  • notify you of changes to our services;
  • conduct in-house research and statistical analysis;
  • allow you to participate in interactive features of our service, when you choose to do so;
  • to communicate regarding additional services which you have requested and that may be of interest to you. These may include information, direct marketing about industry trends, event activities and training opportunities.

We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us. We review our retention periods for personal information on a regular basis.

Your information will not be passed to other organisations other than those involved in the administrative activities of the membership organisation.

This privacy policy applies only to the ITI website‚ so we encourage you to read the privacy statements on any other websites you visit. We cannot be responsible for the privacy policies and practices of other sites even if you access those using links from ITI’s website.

  • The right of access (Right to request the data we hold)

The General Data Protection Regulation (“GDPR”) grants you the right to a copy of any data concerning you that has been processed by us. This is referred to as a Subject Access Request. We will respond promptly and certainly within the one month time frame laid down by the GDPR from the point of receiving the request and all the necessary information from you. The first request will be dealt with free of charge to yourself.

  • The right to rectification

Individuals are entitled to have personal data rectified if it is inaccurate or incomplete. We will respond to requests for rectification within one month of receipt of the request.

The accuracy of your information is important to us. We’re working on ways to make it easier for you to review and correct the information that we hold about you. In the meantime, if you change email address, or any of the other information we hold is inaccurate or out of date, please contact us.

  • The right to erasure (also known as the right to be forgotten)

You have a right to have your personal data erased and to prevent processing in specific circumstances:

  • Where the personal data is no longer necessary in relation to the purpose for which it was originally collected/processed.
  • Should you withdraw your consent to processing.
  • Should you object to the processing and there is no overriding legitimate interest for us continuing the processing.
  • Your personal data was unlawfully processed (i.e. otherwise in breach of the GDPR).
  • Your personal data has to be erased in order to comply with a legal obligation.
  • The right to restrict (i.e. prevent) further processing of your data

You have the right to ‘block’ or supress processing of your personal data. We will retain just enough information to ensure that the restriction is respected in the future.

  • The right to data portability

This right allows you to move, copy or transfer personal data easily from one IT environment to another in a safe and secure way, without hindrance to usability.

The right to data portability only applies:

  • to personal data an individual has provided to a controller;
  • where the processing is based on the individual’s consent or for the performance of a contract; and
  • when processing is carried out by automated means.
  • The right to object

Individuals have the right to object to:

  • processing based on legitimate interests or the performance of a task in the public interest/exercise of official authority (including profiling);
  • direct marketing (including profiling); and
  • processing for purposes of scientific/historical research and statistics
  • Rights related to automated decision making including profiling

We do not use automated decision making or profiling.
